NOTE: Participation in many of the University's benefit plans requires enrollment within 31 days of employment or benefits eligibility. You may call the benefits office at to make an appointment with a benefits counselor who will help you choose a plan.

Full-time post-doctoral fellows, and full-time staff are eligible for NU health benefits. Visiting scholars are eligible for University insurance coverage through Northwestern University Risk Management.

Northwestern University Information Technology (NUIT) provides e-mail, NetID, and passphrase/password services for facutly and staff. Newly hired faculty and staff are able to activate their NetIDs from their own desktop or laptop computers, up to 30 days before their arrival on the Evanston or Chicago campus. In order to establish an e-mail account and obtain a Wildcard, you will need a netid. Your netid is issued by payroll, after they have processed all necessary payroll forms. Payroll sends your netid, via e-mail, to the NetID Coordinator/Manager for your department who will forward it to you. Sharlene Andrewin is the NetID Coordinator/Manager for the Department of Molecular Biosciences.

  • When you have your netID you will need to activate it and create a netID password at Northwestern University's online NetID Activation page at https://snap.it.northwestern.edu/it/snap/activate-facstaff.html. When you have activated your netID, your e-mail address will be provided to you at that time, online.
  • To access WebMail where you can change your netid password, access your e-mail account off-campus, set up e-mail fowarding, create a vacation message, etc., visit http://www.northwestern.edu/webmail/.

Obtain a Wildcard (University ID): (back to top)
Your University Identification card (a.k.a. Wildcard) is needed for e-mail, library access, obtaining a parking pass, using the shuttle bus service, accessing the sports facility, etc. and it provides you with discounts at many Evanston retailers. After you receive your netid, (approximately 3 to 5 business days after completing the required payroll forms) obtain a Wildcard at:

  • Wildcards for spouses can be obtained for a initial/renewal fee of $10.00 (faculty/staff) and $5.00 (students).
  • Replacement fee for lost or stolen Wildcard is $15.00.

Obtain a Social Security Card - (AS SOON AS POSSIBLE!) (back to top)
You must wait 10 days after your date of arrival to apply for a Social Security Card. Bring the following with you to the Social Security office:
1) Two pieces of identification verifying your age, identity and citizenship status
2) A document with your new address on it (a lease, for example).

To Obtain a Parking Permit: (back to top)
In order to park on the Evanston campus you will need to obtain a parking permit or a daily parking pass. To purchase a parking permit, you will need to provide the Parking Office with your Wildcard, your car's make/model, your driver's license, and your vehicle's plate number. If you are an employee of Northwestern University and you wish to purchase an academic year permit, the Parking Office will establish a monthly payroll deduction:

Fees effective 09/01/17; Annual permits start 10/01/17-09/30/18:

  • Faculty & Staff Full-time Annual Permit $552.00. Decreases by $46.00 every month after October. Paid via pretax payroll deduction.
  • Faculty & Staff Part-time Annual Permit $351.00. Decreases by $29.25 every month after October. Paid via pretax payroll deduction.
  • Faculty & Staff Full-time Quarterly Permit $138.00. Cash, credit card or check payment only. Not eligible for pretax payroll deduction.
  • Faculty & Staff Full-time Monthly Permit $46.00. Cash, credit card or check payment only. Not eligible for pretax payroll deduction.
  • Student Annual Permit $552.00. Decreases by $46.00 monthly every month after October. Billed to student account.
  • Student Academic Year Permit $468.00. Expires day after commencement. Decreases by $52.00 monthly every month after October. Billed to student account.
  • Motorcycle $345.00. Decreases by $28.75 every month after October. No charge to regular annual permit holder.
  • EMP Annual Permit $351.00. Decreases by $29.25 each month after October.
  • Daily $8.25.
  • Ryan Field $25.00.
  • Ryan Field also has free access to Intercampus Shuttle or CTA Bus Route 201 to get from Ryan Field to Evanston campus. Can be billed to student account. Not eligible for pretax payroll deduction.

If you are eligible for federal work-study, you must complete the following forms which can be found at http://undergradaid.northwestern.edu/work-study/forms/:

  • Work-Study Authorization Form (this form must be completed by the department where you are working and submitted by you to the Work-Study Office)
  • Personal Data Form (the department where you are working will submit this form to payroll)
  • Illinois State W-4 Form (the department where you are working will submit this form to payroll)
  • Direct Deposit Form (you or the department where you are working will submit this form to payroll - it cannot be submitted via fax or e-mail as a voided personal check or bank statement must be submitted with the form)
  • I-9 Employment Eligibility Form (this form must be completed and submitted online)
